For a contactless secure biometric solution, we offer facial recognition terminals. These are high-performing, user-friendly and have an optional tilt-bracket to accommodate wheelchair users and people of all heights.

Fire Roll Call

Safety is ensured when Tensor clocks and Access Control units are linked into your company’s fire alarm system to trigger a fast, automated fire evacuation list.

From the most basic “on site” reporting, to the individual tracking of employee’s movement between fire zone/fire assembly points, Tensor’s Fire Roll Call can be tailored to meet your safety requirements.

The standard version of this feature involves physical printers. There is also an app version, for those with multiple sites or no access to suitably placed printers. This enables supervisors to check on the status of each individual person registered on the system in real-time, without wasting paper or relying on calling out names.

Absence Reason Codes

Absence reason codes define all the reasons that can be allocated to employees when they are absent from work. They can be assigned to absence categories, which can be used for entitlement purposes, as well as unpaid, paid to a specific pay-band or paid into the shift’s current pay-band.

Reason codes can be colour coded for the absence planner and shift assignment screens and can be configured to be treated as a worked day, to auto generate default job bookings and to be handled as a rest day.

They can be included in the attendance management monitoring process and the software can raise a warning when a person has exceeded a stated number of days or instances of an absence.

All Major Hours Calculation

All frequently used methods of calculating employee hours are handled by the .NET Time and Attendance Software. From simple determination of overtime by the number of daily hours worked, to the more complex payment of overtime hours adjusted when periodic targets are not met, .NET can supply working rules to calculate the correct result. The system contains special rules to accommodate the formal flexitime contracts worked by many public sector employees. Workers paid on an annual contract basis can receive reports stating how many contracted hours they have yet to work.

A number of basic rules control how hours are calculated. These include settings to separate “worked time” into:

• Different overtime rates.
• Handle night shift working.
• Inserting unpaid breaks when employees do not clock them.

You can also insert breaks either between set times, and/or after a minimum number of hours have been worked. The optional auto clock out feature allows the system to automatically clock an employee out at a specified time if no clockings are made.

Work patterns are a combination of daily rules that are either a repeating pattern of shifts or a list of alternative rules. Here, the .NET system will predict the most appropriate shift depending on the time an employee clocks IN. Each type of pattern can be set up to override the normal pattern and use a specific shift on public holidays or shutdown days.

Customisable

Our .NET system’s appearance is highly customisable. 20 different desktop themes are provided. Most system information is displayed on tabbed pages; these may be dragged and docked to form a wide variety of screen formats; useful when comparing several sets of information.

Absence Planning and Entitlement Management

Graphical calendar charts provide a colourful way of viewing an individual’s or a department’s absence records.

Each employee can be allocated different entitlements for absence such as annual leave or allowed sickness. As absence is booked and taken, the remainder available for each entitlement is updated. Entitlement formulae are used to calculate more complex entitlements calculated on a rising scale based upon length of service.

Manning Levels

Manning levels in our .NET system are based upon employee skills required during the working week. Any shortfalls to the expected requirement, due to absenteeism for example, can trigger a system email.

A separate module is available for rostering and manpower scheduling.

Bonus Payments

The system allows you to create a series of shift premium rules that enable employees to earn bonus payments under special circumstances. The bonus is calculated either as extra hours or monetary amounts and can be included in the export to payroll.

Working Time Regulations

The .NET system includes all the rules laid down in the WTR; rules can be modified to suit your company’s Working Time agreements.

You are pre-warned when applying a shift pattern that will result in a WTR infringement. Standard reports show:

• Average hours worked during any period.
• Instances when rest day rules have been broken.
• When night workers are due a health assessment.
• Easy to use Search facility.
• Masses of information can be a handicap if you can’t find what you are looking for quickly.
• WinTA.NET uses a context sensitive search facility to pin point exactly what you need to find.
• Searches can be by part of a code or name, and results limited by both standard and customised filters.

Absenteeism & Lateness Reporting

Accurate information about absenteeism and lateness is crucial for many businesses. WinTA.NET provides this information through warning email notifications or via hardcopy reports. The system quickly identifies missing employees that are expected to be at work and then informs you via automatic email reporting reports distributed by email.

Flexitime

The shifts option within WinTA.NET can be configured for fixed time or flexitime working for each employee. Administrators can specify the hours used to calculate the flexitime balance and users can view their current flexitime balance and request adjustments to their balance. Flexi adjustments can be made for any day, either to change the existing balance or to replace it with a new value.

The flexitime summary lists the actual and expected hours used to calculate employee’s flexitime balances. Employees can be selected by any of the standard OU groupings provided they are assigned to a formal flexitime roster. Flexitime details can be listed for one or more employees for single or multiple days, are customisable and can be limited to a balance only display.

CCTV

Tensor.NET provides the ability to link video footage with security events such as granted, denied and forced entry. The user can assign multiple cameras to one Access Control point or one camera to multiple points. They are then able to search security event logs by date and time and playback video associated to selected events. Additionally, the application allows either live or historic video to be viewed for periods not linked to any specific Access Control event.

Configurable Export to Payroll

A major requirement of any Time & Attendance system is the ability to export information to the payroll system. Tensor is the leader in this field and has worked with all of the major payroll packages. WinTA.NET has a wide range of configuration options to extract payroll information in exactly the correct format. It can share or receive information from 3rd party applications by using readily available interface modules. Data transfers can occur either on demand or more usually as an automated process.

Analysis & Reporting

Pre-installed report templates can be customised to easily create new reports. The report wizard guides users through each stage of the design process to quickly configure basic settings. Here, advanced users can load reports into a fully featured report designer where the properties of each report element can be fine-tuned to their requirements. Reports can be generated on demand or scheduled for automatic printing. Either way, these can be distributed via email, published to a website or saved in a variety of file formats including Excel XLS and Adobe Acrobat PDF.

Job Costing & Labour Hours Analysis

Using a Tensor Smart Card and input device (keypad, barcode scanner etc), workers can book time against multi-tiered jobs to produce a fully costed analysis and breakdown of time spent on each job. Reports show jobs that are over budget or those approaching their budget limit. This information can also be exported to a spreadsheet.

Email / SMS / Speech Notifications & Alerts

WinTA.NET is a proactive system that keeps you abreast of events. It does this by automatically emailing both employees and system users. For example;

• Employee holiday request authorisations / refusals.
• Supervisor notifications of employees who have not clocked in after their start core time.
• Supervisor notification when flagged employees clock in.
• System administrator’s alerts for a range of configurable system events, such as a network failure or access under duress.

Bradford Indexing

An employee’s Bradford Index score is automatically maintained. Reports generated by the Tensor.NET software provide a breakdown of employee’s Bradford Index score over the past 12 or 6 months.

Multi Zone Support

Software supports multiple departments that can be shared by multiple sites. Departments can be assigned to a site or global access group, used by all employees in the dept.Staffing levels and payroll periods can be linked to a specific department.

WinTA.NET also supports sections, which can be shared by multiple departments. They can be assigned to a site or global access group, used by all employees in the section.

Time & Attendance Self Service Module (SSM)

The Self Service Module is a web based application that allows enrolled employees to Clock IN or OUT for Time & Attendance purposes, book themselves ON or OFF the fire evacuation list and book ON or OFF jobs via their internet browser.

Employees are also able to view their current holiday entitlement, clock card reports and browse past absences using an absence planner and request amendments to clocking & absence periods in the past & future. All such requests must be authorised by the employee’s supervisor. Supervisors are informed about requests by email, as are employees when such requests are granted or denied.

Geotagging for Mobile Devices

Mobile clockings and job bookings, once submitted via the Tensor Mobile SSM App, are transferred to the central Tensor.NET application with GPS position data to ascertain the mobile device’s location at the time of clocking. Employee movements can then be displayed & plotted on a map viewable in Tensor.NET.

Mobile App

Users can now access their Self Service Module accounts whilst on the move via their smartphone. The Mobile SSM App is available for download from Apple’s App Store and from the Google Play Store and allows users to login & request absences and make clockings directly from their iOS or Android smartphone. Supervisors can use the same app to manage absence requests.

• Clock In/Out summary. Ability for a user to clock in or out with an optional reason code. If the user has their phone’s location services turned on, then their physical location is plotted on a map viewable from within Tensor.NET.
• Request summary. Ability for a user to view their current, pending and denied requests at a glance.
• Calendar Summary. The user has the ability to view all leave requests on the iApp calendar.
• Time Sheet Summary. The user can view all clocking transactions they have made during a period of either: the last 7 days, the previous day or current day.

Screen Designer

To satisfy every imaginable information recording requirement. This feature allows advanced users to create their own custom database tables. Graphical tools are provided to “draw” common application controls such as drop down lists and tick boxes onto new forms that are seamlessly included within the application interface. Properties then link the new input controls on these screens to specific fields in the customised database table.

Appointment Booking via SSM

Using the web based Self-Service Module (SSM), employees can book new appointments for visitors that they or other users are hosting. They can also view appointments that have been booked for themselves as host or for any other host at their site and delegate other users to act as appointment hosts in their stead.

Multi-Lingual Support

The Self Service Module (SSM) in Tensor.NET enables users to select the supported language they wish to use.

Real Time Communications

Timely information is increasingly important within business. The new range of T32xx clocks actively communicate with the computer system when a person clocks, books themself ON to a job or uses their card to open a door.

Security & Identity Fraud Proof

Access to the WinTA.NET Time and Attendance Software is strictly controlled using passwords. Users are restricted to menu options granted to them, structured around pre-installed configurable “roles”. Restrictions by sub section or at a topic level are possible.

Leading Access Control & Security

We have designed WinTA.NET in conjunction with a new range of colourful, .NET & wireless enabled Smart Card & Biometric clocking and Access Control equipment. Current customers can upgrade without having to change their T8440 or T258x clocking stations. Soft intruder alarms and unexpected door usage “early warning” email alerts are included. Email alert messages are immediately emailed to any number of specified addresses when predefined events take place, for example a lost card is scanned or communication is lost.

Full Audit Trail of System Activity

All user activity within the system is recorded for audit purposes, with time & date transactions of information both before and after changes. Logs also maintain records of system events for fault finding and trouble shooting.

Available in Lite, Small Business and Enterprise editions, the WinTA.NET Time and Attendance Software is a cost-effective for those employing from 10 to 10,000+ staff; all containing the same core functionality but with differing staff numbers and remote locations supported.
