Staff expansion can cause payroll overload

Synergi, a Gateshead business specialising in Microsoft cloud solutions, is on target to hit 2m turnover this year.

The tech business has been around since 2013, founded by Peter Joynson and Justin Short, and has relocated to larger offices on The Watermark business park thanks to its growth.

Synergi have predicted a revenue increase of 30% over the next year, and the company is developing its presence in Edinburgh, Glasgow, and London.

"The next five years should be even more exciting for both our business and customers," Joynson said.

"As companies more widely adopt cloud platforms and extend them to do more advanced things like process automation, the impact of emerging capability in artificial intelligence and machine learning will bring a whole new dimension to the potential of our solutions and the value customers can expect from them."

Expanding your presence into new cities is a sign of ambition and success, but it can cause problems for several different departments back in HQ.

The main inefficiency uncovered when companies expand is in their time and attendance systems. Many companies, especially SMEs which have expanded rapidly, still use paper timesheets and sign-in sheets.

Paper timesheets are open to user error or even user fraud. As well as directly lying on their timesheets, employees could forget the exact details of their shifts. This could affect their pay, or even their adherence to the Working Time Regulations.

Secondarily, paper timesheets need to be transferred into digital data. This is often done by some poor administrator typing the data out into an Excel spreadsheet. There is a lot of room here for human error.

To solve these issues, SMEs should use a time and attendance system like Time and Attendance North East’s WinTA.NET. This enables worker to clock themselves in and out every day using smartcards or biometrics.

The data can be exported straight to common payroll software such as Sagepay, which means that accounts or admin staff no longer have to spend hours of their day typing times into Excel.
