Christmas seasonal surges could cause payroll problems

Echo-U, a Quayside-based contact centre in Newcastle, has started a huge recruitment drive, creating 200 new full and part-time customer service roles in order to meet the expected Christmas demand.

The new roles will be working on behalf of Echo-U’s courier client, DPD during the peak season. They will be responsible for managing enquiries over the phone, email, app and social media channels.

Social media and app management is a recent expansion from Echo-U. They have also invested in Tyne House offices to create a quiet ‘zen space’, a chill out zone and a bistro area.

David Blakey, joint owner and director at Echo-U, said: “The festive period is a truly exciting, but busy time at Echo-U. As we prepare for one of the busiest periods of the year we are looking for individuals with an enthusiastic approach to customer service.

“With the opportunity to work across an inbound campaign for an award-winning courier, our seasonal roles are ideal for anyone looking for flexible hours or to make some extra money as they prepare for Christmas.

“We provide a full training programme ensuring people are on track to provide outstanding customer service so experience isn’t essential. Our city centre base means our recruits have access to great transport links in the heart of our bustling city centre and quayside.”

An influx of new staff is the perfect opportunity to check whether or not your time and attendance system is as efficient as it should be.

Many companies are still using paper timesheets to record their employees’ hours and calculate their weekly or monthly payslips. This is particularly the case for seasonal workers, agency workers, and other types of hourly paid workers.

There are many disadvantages to still using paper timesheets in 2018.

For example, if your timesheets are submitted monthly it is unlikely that employees will be able to remember their exact hours for the whole month. This would then lead to incorrect payslips, which could cause problems with the employees, or even with outside authorities if you don’t realise that unreported overtime has put your employee over the Working Time Regulations.

An increase of 200 employees, all using paper timesheets, will put a lot of strain on the staff who have to process these. Whether it is the managers who need to approve them or the payroll staff who need to type all 200 sheets out into Excel, they will struggle with the sudden addition to their workload.

Our time and attendance system records everyone’s entrance and exit from controlled doors, using either smartcards or the more expensive but more secure biometric measurements of hands or fingerprints. So there’s no more chance for employees to forget timings.

All the entrance/exit data from our system is exportable into a format suitable for all major payroll programmes. This means that payroll staff no longer need to waste time painstakingly typing out the hours worked.
